Privacy notice
This notice explains how Liberty ADR Centre handles personal information collected through this website. Information about a dispute can be sensitive, and we aim to collect only what we need and to protect it carefully.
1. Who we are
Liberty ADR Centre (“the Centre”, “we”, “us”) is responsible for the personal information described in this notice. We handle personal information in line with Ghana’s Data Protection Act, 2012 (Act 843).
Contact: Liberty ADR Centre, Amrahia, Dodowa Road, Opposite Christian University, behind the ECG office, Adenta, Accra. Email: libertyadrcentreghana@gmail.com. Telephone: 0507841533.
2. Information we collect
When you use our consultation request or contact forms, we collect:
- your name, email address and telephone number, and how you prefer to be contacted;
- the type of dispute, a short description you choose to give, your general location, and your preferences about process and timing;
- the date and time of your submission and a record that you acknowledged this notice.
Please give only a brief summary. Do not include identity numbers, bank details, medical information or other highly sensitive details in a website form. We will discuss the matter with you privately.
To protect the forms from abuse, we process an irreversible coded version (a keyed hash) of your device’s IP address to limit repeated submissions. We do not store your IP address in readable form alongside your enquiry.
If you tell us about another person, such as the other party to a dispute, please share only what is needed for us to understand the enquiry.
3. How we use your information
We use the information you submit to:
- review your enquiry and contact you about it;
- assess whether ADR may be suitable and check for conflicts of interest;
- keep a record of enquiries and our responses;
- protect the website and its users against misuse.
We process this information with your consent, which you give when you submit a form, and because it is necessary to take the steps you have asked us to take before any dispute resolution engagement. You may withdraw your consent at any time by contacting us; this does not affect processing already carried out.
We do not sell personal information, and we do not use it for advertising.
4. Who can see your information
Enquiries are stored in a secure database and can be accessed only by authorised members of the Centre’s team whose role requires it. If your matter proceeds, relevant details may be shared with the neutral appointed to it, who is bound by confidentiality.
We use service providers to host this website and its database and to send email. They process information on our behalf and only for these purposes. Some providers may store or process information outside Ghana; where this happens, we use providers that apply appropriate security and confidentiality safeguards.
To protect privacy, our staff email alerts about new enquiries do not contain the description of the dispute. Staff read it in our secure administration area.
After you submit a consultation request, the website offers to open WhatsApp with your details ready to send to the Centre’s WhatsApp line. Nothing is sent unless you tap Send in WhatsApp. That message travels through WhatsApp (operated by Meta) under WhatsApp’s own terms and privacy policy, and it is received on the Centre’s WhatsApp account. If you prefer not to use WhatsApp, simply close it: your request has already been received through the website.
We may disclose information where the law requires it, for example in response to a lawful order, or where there is a serious risk of harm to a person.
5. Confidentiality of ADR processes
This notice covers information submitted through the website. If you take part in a negotiation, mediation or arbitration, the confidentiality of that process is governed by the agreement you sign at the start and by the applicable law. Confidentiality in ADR is important but not absolute, and the limits will be explained to you before any session.
6. How long we keep information
We keep enquiry records only as long as we need them for the purposes described above. Enquiries that do not lead to a dispute resolution process are normally deleted within 24 months of our last contact with you. Where a matter proceeds, records are kept in line with our obligations for that process. You may ask us to delete your enquiry sooner.
7. How we protect information
We use encrypted connections (HTTPS), access controls based on staff roles, secure staff login, records of administrative actions, and limits on automated submissions. No system is completely secure, but we work to protect information against unauthorised access, loss and misuse, and we review our safeguards regularly.
9. Your rights
Under the Data Protection Act, 2012 (Act 843), you may ask us to:
- confirm whether we hold personal information about you, and give you access to it;
- correct information that is inaccurate or incomplete;
- delete information we no longer have a valid reason to keep;
- stop or limit processing of your information in certain circumstances.
To make a request, contact us using the details above. We may need to confirm your identity before acting on a request. If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana.
10. Children
This website is intended for adults. Enquiries about matters involving children should be made by a parent, guardian or other responsible adult.
11. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last revised. Please also read our terms of use.
